Tips for dictating on the go with handheld recorders
Regardless of whether you own a handheld digital dictation device or you’ve just considered purchasing one, you will likely have asked yourself: “How can I maximize my investment in portable dictation?” The answer is likely more simple than you think. Regardless of make or model, by taking the time to consider a few key points you can help improve your ability to dictate at home, at work and wherever your travels take you.
• Begin by considering the fact your handheld is more likely to ‘walk away’ or get lost than your wallet, purse or cell phone. Unless you are very dedicated there will be hours (sometimes days) when you won’t have the unit with you – and so you’re less likely to check on it when you do take it with you. If you’re handheld is new, you probably think it looks pretty nice. Regardless, the first thing you should do is label the unit with your name and contact information. Make sure you use a waterproof sticker with indelible ink. If your handheld is left in a public space, this should help you get it back.
• The next thing you should do is get in the habit of carrying your handheld right next to your cell phone. If you’re going to need your handheld the next day, set it on your cell phone so you won’t forget it in the morning. If you stick with this habit then the only way you’ll lose or forget your handheld is if you lose or forget your phone.
• If you dictate multiplecases are sure you advance to a new, blank file before setting down the unit. Getting into this habit can help you be more discrete should someone grab your handheld and try to play back the dictation. Unless someone is truly trying, they most likely won’t figure out how to go back to your previous dictation to listen to the details. Note this is not a replacement for having strong encryption on your handheld if you’re dictating patient data.
• Finally, be aware of your surroundings. When you’re in the airport, on the freeway or have your little niece and nephew over you want to consider how they can affect the quality of your dictation. Rewind and review your dictations more frequently when you know you’ve recorded in places where background noise can be a problem. If you can’t hear your own dictation then your assistant / transcriptionist won’t be able to either – and ultimately if they can’t hear you you’ll eventually have to re-dictate.
In closing, remember that advances in electronics are meant to make your life easier – but don’t be fooled into thinking that they do all the work for you. Handheld recorders are just another tool for you to use, and they work best when used right.
